Personal data is any information relating to an identified or identifiable person. St Johns Church will process your personal data in a transparent and lawful way, as stated in the Church of England Data Protection Policy

Why we collect and use your personal data
Your personal information is collected to enable the Church to contact you in connection with the mission and ministry of St Johns Church, Moulsham.
This includes could include (but is not limited to):
- Promoting and supporting the Christian mission and ministry of St Johns
- Promotion of cultural and religious events in the Parish (and beyond where deemed relevant e.g. in Chelmsford Cathedral or in the Diocese)
- Publishing resources and reports
- Administration and all activities we are required to carry out as a data controller
- Managing archived records for historical reasons
- Maintaining our own accounts and records

We collect and use information under one or more of the following legal bases.
- Consent – we need your permission to use your information. Where we require consent to use your information we will make it clear when we ask for consent and explain how to go about withdrawing your consent
- Legal obligation – we need to process your information to comply with the law
- Vital interest – we need to process your information to protect someone’s life in an emergency (e.g. food allergy information)

Type of personal information we collect
We currently collect and process the following information:
- Personal identifiers – forename(s) and surname
- Date of Birth
- Postal Address / Email Address
- Telephone number (landline or mobile)
- An indication of your preferred method of contact
- Any Allergy information (food-related)
- Photos from church services and events
- Videos from the services that are live streamed
How we get the personal information and why we have it
All the personal information we process is provided to us directly by you for one of the following reasons:
- To let you know / tell you about forthcoming events at the church
- To contact you about these church events
- To contact you if you are on a rota connected with the church and the services that we run
- To ask for your help when it is needed (e.g. Helping set up for church events; Church Maintenance Sessions; Spring Cleaning; Shared Lunch events)
- To give you a birthday card!
- To Inform you what was discussed at PCC meetings (e.g. 3 things to feed back to the congregation)
- To live stream our services (video consent)
- To promote the activities of the church (photo consent)
We do not receive personal information about you indirectly or from any external source.
We do not sell this data nor share it with any other organisation or Third Party (and it will not be shared with organisations inside or outside the UK or EEA other than Chelmsford Cathedral and / or the Diocese of Chelmsford)
How we store your personal information
Your information is securely stored (This is done on a software package called “I Know Church”)
We keep your personal information only for as long as is necessary (e.g. for as long as you are an active member of this parish church). We will delete your information if you are no longer a member of the church community or sooner if you have told us that you no longer wish to receive any communication from us.
Your data will be removed / deleted from our records by the Church Administrator that maintains the list of church members in “I Know Church”.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access – You have the right to ask us for copies of your personal information
- Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete
- Your right to erasure – You have the right to ask us to erase your personal information
- Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information
- Your right to object to processing – You have the the right to object to the processing of your personal information
- Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
